RE: DVSF Schedule

Here is the schedule for the 2002 Delaware Valley Science Fairs at the Fort Washington Expo Center.  Please distribute this information to all your students who are going to participate in DVSF.

Tuesday, April 9th

Set-up will begin at 9:00 AM and continue throughout the day until 8:00 PM.  The Expo Center has a loading area and there is free parking near-by.

When you arrive, you must pick up your packet at the registration tables to obtain your project number and badge.  Badges must be worn at all times in order to get on the exhibit floor.  Do not lose you badge and be sure to bring it with you on Wednesday and Thursday.  It is difficult to have them replaced.  There will be tight security.  Also in your packet you will find the check-in procedures.  You must have your project approved by the DVSF Display and Safety Committee before you leave.  You must have a copy of your abstract.  Please bring several with you.  We cannot give you the one from our files.  Note: You are permitted to have someone else set up your project, but make sure they get your badge and information to you.

Because of the increased security, there is no need to worry about your project and your equipment (computers,etc.).  No one will be permitted to set up on Wednesday morning.

Wednesday, April 10th

This is Judging Day!  Judges will arrive in the morning and after a brief meeting, will start looking at your projects.  You should arrive at the Expo Center no earlier than 11:30 AM so that you can be at your project at 12:00 Noon when the interviews start.  This could go until 5:00 PM, but be prepared to stay later if necessary.  If you have won an award, your project number will be posted in the lobby area after the judging.

The Fairs will be open to the public on Thursday.  Because of this, you will not break down you project after the judging.  They should be left standing for everyone to see.  You should take pride in the fact that others will get a chance to admire the fruits of your hard work.  Security will not allow any projects to leave the exhibit hall.  Note:  It is recommended that you take your data book and/ or research paper with you.

Teachers or Parents will not be permitted on the floor during judging.  However there will be a designated area for teachers and parents;  Rohm & Haas Company and The University of the Sciences will be offering workshops.  Refreshments and programs will be provided in the afternoon.

Thursday, April 11th

This will be public viewing day.  The exhibit hall will be open from 9:00 AM to 5:00 PM.  Everyone is welcome and admission is free.  You are more than welcome to be at your project to talk about it to the public or media.  Remember to wear your badge.  There will be tight security to guard your project and equipment.

The Awards Ceremony will take place at the Expo Center in the evening at 5:30 PM.  All are welcome.  Breakdown of the exhibits can begin at 5:00 PM.  All projects must be off the exhibit floor by 10:00 PM.  For those that have won awards, I suggest that you breakdown your projects after the awards ceremony in case the media would like to see your project.

IMPORTANT: Attached is the Check-in Procedure Sheet.  Please review the guidelines.  They may be different from your local fair.  For those students who worked in an outside laboratory or research institution.  You must display a copy of form 1C.
